Welcome to University Application Guidance ("UAG", "we", "us", "our"). This Privacy Policy explains how we collect, use, store, and share your personal information when you use our platform at uag.app.

2. Information We Collect
2.1 Information you provide directly
When you create an account and use UAG, we collect:
- Account information: your name, email address, username, and password
- Profile information: your age, country, school name, curriculum (IB or Cambridge), and year group
- Academic information: your current or planned subjects, HL/SL designations, and predicted grades
- Career and interest data: your placement test responses, interest scores, RIASEC profile, and shortlisted careers
- Portfolio content: achievements, awards, extracurricular activities, CAS entries, self-assessments, and any other information you add to your portfolio
- Communications: any feedback, support messages, or correspondence you send to us
2.2 Information collected automatically
When you use UAG, we automatically collect:
- Device information: device type, operating system, browser type, and IP address
- Usage information: pages you visit, features you use, time spent on the platform, and actions you take
- Session information: login times and session duration
2.3 Information from placement tests
When you complete the Interest Profiler or Career Mapping tests, we collect your responses and store the resulting scores and career recommendations. This information is used to personalise your roadmap, subject recommendations, and resource suggestions.
3. How We Use Your Information
We use the information we collect to:
- Create and maintain your account
- Personalise your experience, including your roadmap, career recommendations, and resource suggestions
- Calculate and display your predicted grade scores and diploma health status
- Generate your portfolio profile and mockup document
- Send you communications about your account, updates to UAG, and platform changes
- Respond to your feedback and support requests
- Improve the platform and develop new features
- Ensure the security and integrity of the platform
- Comply with applicable laws and regulations
We do not use your information for advertising or sell your data to third parties for marketing purposes.
4. How We Share Your Information
4.1 With your consent
When you use the Share with Counselor feature, you choose to share your portfolio with a specific person via email or shareable link. We share only what you authorise.
4.2 Service providers
We use third-party services to operate UAG, including:
- Supabase: database hosting and authentication
- Lovable: application hosting and infrastructure
- Anthropic/Google: AI-powered features including the portfolio entry classifier
These providers process your data only as necessary to provide their services to us and are bound by contractual obligations to protect your information.
4.3 Legal requirements
We may disclose your information if required by law, court order, or government authority, or to protect the rights, property, or safety of UAG, our users, or others.
4.4 Business transfers
If UAG is acquired, merged, or sold, your information may be transferred to the new entity. We will notify you before this happens.
5. Data Storage and Security
Your data is stored securely on Supabase infrastructure. We use Row Level Security (RLS) policies to ensure that each student can only access their own data.
We implement reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, or misuse. However, no system is completely secure, and we cannot guarantee the absolute security of your information.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with our services.
If you deactivate your account, your data is retained for 30 days to allow for reactivation. After 30 days, your account and all associated data — including placement test results, portfolio entries, predicted grades, and profile information — are permanently deleted.
You may request deletion of your data at any time by contacting us at privacy@uag.app.
7. Your Rights and Choices
You have the right to:
- Access: request a copy of the personal information we hold about you
- Correction: update or correct inaccurate information through your account settings
- Deletion: request permanent deletion of your account and all associated data
- Portability: request your data in a portable format
- Objection: object to certain uses of your data
To exercise any of these rights, contact us at privacy@uag.app. We will respond within 30 days.
8. Children and Student Data
UAG is designed for students aged 13 and older. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has created an account, we will delete the account and all associated data.
We take student data privacy seriously. Student placement test results, portfolio content, and predicted grades are private to the individual student and are not shared with schools, counselors, or third parties without the student's explicit consent.
9. Cookies and Tracking
UAG uses essential cookies and local storage to maintain your session and remember your preferences such as your chosen colour theme and sidebar state. We do not use advertising cookies or track you across other websites.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the Last updated date at the top and notify you via email or an in-app notice. Continued use of UAG after the update constitutes acceptance of the revised policy.
